Job Description:
This role supports the daily operation of the Prospect Development and Research department. Under the direction of the ED, the Coordinator will support the review and maintenance of gift officer portfolios by updating, adding or removing assignments to achieve desired portfolio balance. They will assist Prospect Research in the creation and composing of succinct event biographies, preparing event brief deliverables for a variety of events, and enriching high-value prospect records. They perform a vital role by making data integrity and data maintenance a daily task, assisting authorized CRM users by ensuring that prospect record updates are accomplished in a timely, accurate fashion, leading to more efficient fundraising. This position interprets requested record updates and compares against established guidelines and definitions to make accurate adjustments to the database. The coordinator will also perform routine budget support and reconciliation for the department.

Responsibilities:
  • Validate, process and code CRM prospect status changes and biographical change requests submitted by the fundraising staff.
  • Validate and process prospect requests that are submitted by the fundraising staff, including but not limited to employment updates, relationship updates, and contact information updates.
  • Monitor and report on data maintenance issues, including but not limited to, blank contact reports, inaccurate code use, missing designations and missing primary managers.
  • Make recommendations on resolution and implement as approved.
  • Field end-user questions regarding use of the CRM in relation to the Prospect Management Guidelines and best practices for data entry.
  • Recommend, add and remove prospect manager assignments using the Research Request workflow in relation to established priorities for assignment placement.
  • Assist with portfolio transition review and process resulting assignment changes in the CRM.
  • Validate accepted opportunities by committing corresponding revenue transactions to documented fundraising work.
  • Support/Assist Prospect Research in drafting biographies and compiling event briefing documents for AEA events, with special emphasis on briefs for the University suite for scheduled athletic games.
  • Create and monitor news alerts for University top prospects and distribute updates to relevant prospect managers and the Principal Gift team on a weekly basis.
  • Submit/Coordinate changes with constituent records.
  • Review records of high-value prospects to ensure continuity of available information, with focus on biographical, asset, and relationship fields.
  • Other duties as assigned.
