Job Description:
The Administrative Assistant for Staff Processes will support Student Living with administrative processes for professional and student staff. This staff member will support professional staff search processes and onboarding, overseeing payroll for a large department of 55 professional staff and upwards of 300 student leaders/student staff, and administrative processes within Student Living.

- Provides support for candidate interview, monitor and respond to candidates.
- Schedule virtual pre-screening interviews.
- Assist with candidate campus interviews.
- Serve as point person for candidate-develop itinerary, reserve rooms, schedule sessions.
- Coordinate candidate interview materials and evaluations.
- Once a candidate is hired, prepare the hiring checklist for each staff person' arrange for building access (ID Card Services), office access, assign code & program door; provide Parking Services information and ensure onboarding requirements have been completed.
- Prepare immigration paperwork.
- Maintain all personnel files. Maintain employee database.
- As staff depart, complete departing staff checklist, removing all accesses/connections previously provided, completing the employment period by using the University's Record Retention schedule.
- Balance each staff person's leave accrual monthly; collect and copy/maintain staff performance partnerships.
- Administer all hiring and onboarding paperwork within the department.
- Act as contact person for staff processing needs (i.e., proof of address letters, salary verification letters, etc.).
- Annually complete VISA packet for international staff as required.
- Complete PERs when requested.
- Responsible for all exempt and non-exempt payroll in Student Living.
- Serve as Department Administrator and monitor time entry and approvals for the department.
- Preparation of RAPs & PARs as required.
- Maintain time reports according to university guidelines & oversee temporary appointments (ie ACUHO-I interns).
- Balance Labor Distribution report monthly; track student workers FWS amounts .
- Work with Student Experience Budget Office to troubleshoot any payroll problems resulting in the loading of the budget annually.
- Monitor benefit hours and time away for professional staff.
- Triage Director for Residential Learning and Development email in box; manage and coordinate Director's calendars and meetings; provide administrative support to the Director; order business cards, name placards and name tags for Student Living staff; Create/maintain departmental rosters (staff, RA, birthday, emergency contact, etc.);administrator of departmental listservs (professional & RA); Add/remove staff from Waverly office access.
- Supports Director with the Performance Partnership process.
- Maintains files of SL staff processes and procedures to support in staff transition; train new staff as necessary in SL staff processes.
- Work with Materials Distribution office to arrange for records destruction annually.
- Order supplies for department staff. Perform other duties as requested.
- Administratively manage the RA selection process.
- Maintain database RA staff members; make moves/changes as needed.
- Prepare lists of selected candidates for other SU offices (Parking Services, ID Card Services, Office of Student Activities), as well as outside groups as requested.
- RA candidates vet list as required (grade & conduct checks).
- Once hired, verify 1-9, GPA, and demographics. Act as moderator for the RA listserv and maintain the listserv participants. Administratively manage the MDA selection process.
- Work with Student Employment for job postings and hiring processes.
- Maintain and update MDA Supervisor manual and Student Employee manuals.
- Provide training for MDA processes to MDA supervisors.
- Serve as support for desk supervisors.
- Actively participate and provide administrative support for the Student Leader, Professional Staff Selection and SL Learning and Development working teams.
