JOB SUMMARY
Reporting to the School of Nursing (SON) Directors of Pre-Licensure Nursing Clinical Education and the Simulation Center, the Clinical and Simulation Administrative Coordinator will facilitate the student clinical placement process for the pre-licensure nursing programs, MSN campus-based students, and other programs as assigned by completing functions that achieve the safe and compliant placement of students at specific clinical sites. The Coordinator will also plan, coordinate and publish simulation schedules for nursing students, in collaboration with the Simulation team and nursing faculty under the supervision of the Simulation Center Director.
This position requires strong interpersonal skills and judgment to facilitate collaboration and communication among Nursing faculty, staff, students, and other stakeholders. The ability to handle sensitive information when necessary is also a key part of this role.

ESSENTIAL JOB FUNCTIONS

- Responsible for the administrative coordination and maintenance of clinical placements with contracted clinical agencies for pre-licensure nursing students and campus-based MSN students.
- Communicates with students, clinical faculty, and hospital representatives, to obtain and clarify information to update the database for student placements using the appropriate platform (Excel, Salesforce, Castle Branch, CORE ELMS, etc.).
- Ensures that immunization records and other required pre-clinical clearance and credentialing documents for pre-licensure nursing students and campus-based MSN students are in compliance.
- Manages clinical placement lists and reports as required by the Director of Pre-Licensure Nursing Education, SON Chair, Director of MSN Clinical Education, faculty, and outside boards and agencies.
- Collects and maintains offsite clinical preceptor and adjunct faculty (clinical and simulation) qualification documentation/licensure/forms per MA Board of Nursing and CCNE.
- Coordinates the collection of clinical agency evaluations by faculty/student/agency members.
- Responsible for the CORI and background check process for clinical students across programs, including liaising with our online partners and clinical partners when there are issues with student background checks.
- Assists the Clinical Placement Operations Manager with clinical placement schedule creation for each semester and performs related data entry into necessary databases.
- Coordinates the Simulation Center faculty and staff scheduling processes.
- Develops and maintains the student simulation schedule in collaboration with the Simulation team and SON faculty input under the direction of the Simulation Center Director.
- Develops staffing and scheduling models to optimize utilization of simulation assets in collaboration with the Simulation Center Director.
- Participates in the inventory process of supplies and equipment in collaboration with the Simulation Center Director, Simulation Educator, simulation faculty, and simulation Technician/Technologist.
OTHER DUTIES AND RESPONSIBILITIES
- In collaboration with the Clinical Placement Operations Manager assists students, SON faculty and communicates with outside clinical agencies (e.g. hospitals, community clinics and health care provider's offices, etc.) to ensure that all facets of the clinical agency placement process are properly documented and communicated.
- Responsible for collecting and organizing required student onboarding information to submit to clinical sites in conjunction with the Clinical Placement Operations Manager.
- Attends and presents at student meetings and University-sponsored events.
- In conjunction with the Director of Pre-Licensure Nursing Clinical Education and faculty, serves as liaison to the healthcare community explaining, when needed, the role of the pre-licensure nursing student, evaluating appropriateness of clinical sites prior to student placement, and coordinating periodic campus meetings for clinical agency representatives/faculty/students as requested.
- Organizes fit testing, flu clinics, preceptor tuition vouchers, and uniform fittings.
- Participate in the SON accreditation and/or board approval activities.
- Cross-training with the Clinical Placement Operations Manager.
- Other duties as assigned.
REQUIRED QUALIFICATIONS
- Bachelor's Degree or equivalent work experience required;
- Minimum one year of professional experience required;
- Proficient at data entry;
- Advanced proficiency with MS Office (Word, Excel and PowerPoint), Google Suite and Adobe;
- Excellent verbal and written communication skills;
- Exceptional planning and organizational skills;
- Ability to take initiative and ownership of projects;
- Proven ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact; and
- Attention to detail and accuracy.
PREFERRED QUALIFICATIONS
- Two to three years of professional experience preferred in an administrative support position with a focus on customer service;
- Prior experience in higher education preferred; and
- Experience with CORE ELMS, Workday, Salesforce, Typhon and Castle Branch preferred.

WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS
- Full time position, 40 hours/week, with option to have a hybrid work schedule both on campus and remote;
- Potential evening and/or weekend time may be needed several times a year to support special events;
- 12-month year-round staff position;
- Work will take place in an office environment;
- Essential physical requirements include typing; and
- Physical effort/lifting not required.
