Salary Expectation: $19.78 to $22.26 per hour (Note: The hourly rate will commensurate based on education and occupational experience).

SHIFT: Day/evening/weekend hours | Flexible based upon the needs of the College
LOCATION: Lakeshore College - Cleveland, Wisconsin
POSITION SUMMARY: Provide administrative support and customer service for the Business, Education, and Culinary Arts division and serve as Testing Center staff. Understand organizational core processes as they relate to department activities and college initiatives. Manage the scheduling process utilizing administrative system software within the institutional areas of responsibilities. Use college systems to obtain information for reports and in making decisions. Perform job responsibilities without direct supervision; maintain confidentiality and ability to work within a variety of situations and a diverse population. Provide outstanding customer service, high visibility and communications to all customers by promoting a positive image of the college internally and externally. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):
(30%) Instructional Division-Specific Duties (Duties will vary on priorities/requirements)
- Support the development, organization, filing, and communication of articulation agreements with partnering universities/colleges.
- Serve as a liaison between external accreditors and agencies.
- Assist in onboarding new faculty and staff.
- Train new division specialists.
- Provide Grant Management Support for program related grants. Enter enrollments, attendance, and assist with grant reporting.
(30%) General Testing Services
- Administer national, state, and local standardized external assessments, internal course-specific exams, GED/HSED exams, Credit for Prior Learning assessments, and other tests required for instruction, individuals, and employers.
- Schedule and maintain appropriate records of student assessments.
- Maintain a high level of knowledge and understanding of testing software, policies, and procedures. Adhere to regulations and rules set by testing publishers and external agencies, such as the Department of Instruction and the Department of Education.
- Collaborate with Accommodation Services to provide approved test accommodations.
- Maintain test integrity using camera surveillance, active proctoring, and train staff to identify violators. Interface with faculty, deans, and college leadership when test security is breached.
- Work within confidential environment in regard to exam results and student completion.
- Explain test-taking procedures and protocols to testers.
(20%) Administration Office Operations
- Serve as professional line of communication between students, faculty, and instructional leaders.
- Issue direct divisional leadership support.
- Maintain functional knowledge of required student information system and other college platforms.
- Serve as division liaison to support college initiatives, such as Credit for Prior Learning, Dual Credit, high school relations, and divisional tours.
- Work with faculty and division leaders to determine course planning.
- Support basic budgeting and spending needs, such as expense tracking, budget monitoring, purchasing, and inventory monitoring.
(15%) Program Support
- Support faculty, deans, and associate deans in annual program planning and assessment processes.
- Develop, input, and manage division master course scheduling and resolve applicable schedule conflicts. Support dean/associate dean to develop and maintain faculty schedule and associated payment.
- Coordinate enrollment activity, including grade and attendance entry, as needed, grant enrollment, and manage course wait lists.
- Collaborate with other areas of the college to support students and the division. Represent division on cross-functional campus-wide committees and activities.
- Coordinate and support program advisory committee meetings.
- Coordinate, working directly with faculty and division leadership, program orientations, student internships, and off-site agreements.
- Assist in the development and maintenance of scheduling matrices and course scheduling for Adult Education/ELL courses and college programs.
- Prepare, send, track, and bill HSED High School contracts.
(5%) External Partner Collaboration and Communication
- Provide excellent customer service to external customers and stakeholders, including enrolled and inquiring students.
- Communicate learning opportunities to external partners, including employers, potential students, and other inquiries.
- Coordinate division participation with tours, college events, and college public relations activities.
EDUCATION AND EXPERIENCE
- Related associate degree from a regionally accredited college or university in a related discipline required. Alternative combination of education and experience may be considered.
- Two years of relevant occupational experience required.
