Primary Duties and Responsibilities:
Reporting to the Registrar, This position is responsible for the overall organization and operation of the evaluation and graduation teams within the Office of Student Records. Act as liaison with academic partners to ensure the accuracy of program requirements. Manage the maintenance of the encoding of transfer articulation, degree and certificate requirements and degree exceptions. Management of all student records, supporting documents, staff resources within the purview of Student Records. Responsible for the accuracy, accessibility, maintenance, security and disbursement of all such records, active, inactive and archival.

  • Coordinate and supervise operations of the evaluation and graduation teams in the Office of Student Records, including (but not limited to) evaluation of students' previous educational work and all processes associated with graduation, the review and awarding of transfer credit, prerequisites and demonstrated competency.
  • Hire, train and manage employees to ensure maximum productivity, efficient and effective workflow, teamwork and professional development.
  • Responsible for training staff in the art of evaluating transfer credit, prerequisite evaluations and graduation audits. Train Office of Student Records staff and other College personnel and faculty in the procedures and policies for graduation and the use of the degree audit system.
  • Oversee the preparation of graduation application files, including degree and catalog eligibility, transfer credit and non-course work applicability.
  • Verify student eligibility for graduation and post credential(s) on student academic records.
  • Responsible for the coordination of the reverse transfer program.
  • Oversee the maintenance of the College's degree audit reporting system and support the work of the records & registration system analyst in ensuring accurate coding for the purpose of confirming student completion.
  • Review all information that is submitted for new catalog that pertains to degrees, certificates and transfer credit.
  • Work in partnership with Information Technology to resolve issues, implement new technologies, and develop modifications to existing tools.
  • Member of College Commencement Committee, involved with planning commencement activities. Responsible for graduate registration and guest ticketing. Assist with commencement ceremony as needed.
  • Assist the Registrar in the development of annual plans and project initiatives. Ensure that department goals are met and initiatives are successfully implemented on budget and on time. Lead department projects and initiatives as necessary.
  • Keep up-to-date on new developments in student records and provide leadership in implementation.
  • Participate on various college committees and teams.
  • Participate in professional development through state organizational membership and meeting attendance.
  • Other duties as assigned.


  • Qualifications:

    • Education
      • Bachelor's Degree required.
      • Master's Degree in Higher Education Administration, Student personnel or related subject preferred.
    • Experience
      • Minimum of 3-5 years in a management position and proven leadership ability required; ability to work with details as well as understand the effects on the larger picture required; established customer service orientation; good organizational and planning skills required; intermediate computer skills and knowledge of software systems required; positive attitude and willingness to adapt to change required.
      • Proficiency in written and spoken English required.
      • 4-5 years of records or records-related experience in addition to the required experience noted above preferred.


    Working Conditions:

  • PC, multi-line telephone, calculator, laser printer, FAX machine, copy machine, imaged document, and micro-fiche reader.
  • Extra hours of work may be required during busy seasons.
  • Mobility required within large office and to all other locations on campus.
  • This position requires a background check and drug screen.

    Hiring Range:
    12 Salary/Starting salary beginning at $75,131 based on experience

    Competitive starting pay is dependent on education and experience.
