Job Description:
The coordinator for student success in the Whitman Undergraduate Program will be responsible for managing the daily administrative operations of the Undergraduate Office. Primary responsibilities include providing first-level support to Whitman undergraduate students including greeting and triaging all office visitors and phone calls (students, faculty, staff, parents, and visitors). Interacts in-person, on the phone, and through email with a wide variety of constituents. The position also supports the office and work of the professional advisors and Assistant Dean through administrative tasks and duties.

Requires the ability to work with frequent interruptions and handle multiple tasks in a fast-paced environment.
Interact in a professional and courteous manner while understanding confidentiality of student information.

Job Specific Qualifications:

Strong technology experience required and proficiency in using Outlook, Excel, Word. Familiarity with PeopleSoft, Onbase and related record systems preferred.
Excellent communication skills and the ability to work effectively with a diverse community which includes students, parents, alumni, faculty and administrative staff.
Strong organizational and time management skills with high detail orientation.
Demonstrated ability to prioritize and deal with multiple projects with strict deadlines.

Responsibilities:

Support the service delivery model of the Whitman Undergraduate Program through the management of the undergraduate office, which includes addressing customer inquiries (students, staff/faculty, parents, general public), whether by phone, email or in person. Understand complex programming initiatives and provide in-depth responses to all inquiries.
Performs administrative duties that facilitate the day-to-day operations of the Whitman undergraduate office.
Responsible for daily review of the general undergraduate email account. Use judgement to either answer the inquiry to forward to appropriate individual/resource.
Editing and updating advising forms, applications, and other materials.
Provide support to the advising team for various tasks such as PeopleSoft updates, entering and updating data, uploading materials to students OnBase file, and generating reports using Data Insights. Maintain all electronic student records including major/minor declarations, processing of transfer credit, forms submissions through OnBase, community engagement through Salesforce, and all other functions related to the student record.
Support the minor coordinator including updating application guidelines, reviewing and processing applications, and being the first point of contact for minor students and their home college support staff.
