Job Description:
The D'Aniello IVMF is seeking a Program Coordinator for the Career Training and Employment program. This position will be part of a team delivering an education and skills-training program to assist transitioning service members, members of the National Guard and Reserve, veterans, and military spouses, across high-demand industry sectors and occupations through the provision of industry-specific skills and credentials. This position will be in Syracuse, NY and will be responsible for coordinating key administrative and operational tasks associated with program delivery to over 10,000 program participants annually. This position will report to the Onward to Opportunity (O2O) National Program Director and will closely coordinates with the O2O Senior Installation Manager, O2O Program Managers, O2O Program Coordinators, O2O User Experience Manager, and the D'Aniello IVMF Communications, Operations, and IT teams.

Responsibilities:
Provide general program support to the program to include:
  • Supporting remote team needs as they coordinate local program cohort schedules and processes.
  • Develop and manage training calendar with installation staff and instructor input to ensure course coverage nationwide.
  • Assist with new training and onboarding of O2O remote team members and providing proper supplies and support.
  • Assist O2O leadership team with creating, implementing and communication strategic programmatic policies.
  • Coordinate with installation program staff to provide all marketing and course materials and supplies; develop and manage regular supply schedule and process.
  • Assist in management of student employees and workload.



Internal Program Communication and Team Coordination:
  • Assist in managing communications between IVMF and team leadership and a remote team of employees.
  • Coordinator schedule for meetings and trainings to O2O team.
  • Assist with upkeep and maintenance of standard operation procedures.
  • Coordinate resources and solve day-to-day problems for remote team.

Assist with administrative functions and record keeping:
  • Team lead on all administrative functions and policies for record keeping, travel reimbursement, and credit card reconciliation and processing.
  • Assist with creation and execution of instructor agreements, scheduling, and ensure timely compensation for instructors upon completion of their obligations to the program.
  • Create new processes and streamline current administrative processes in place.

Communications Support:
  • Create, maintain, and distribute a monthly program newsletter for all stakeholders and external program partners.
  • Coordinate and act as internal liaison for marketing materials, course materials and course supplies for remote team.
  • Assist with maintenance and updates of the O2O website.

Event Planning and Execution:
  • Assist with O2O training events including logistics planning, administrative support, and programmatic schedule.
  • Work with outside vendors for food and accommodations and facilitating proper reimbursement.
  • Assist employees with proper travel planning and reimbursement.
