Job Description:
The Advisor and Records Specialist will advise undergraduate students on a variety of topics including majors and minors, studying abroad/away, degree progress, fulfilling requirements, etc. They will maintain accurate student records, ensuring requirements are met for all VPA students via degree audits and regular communications with advisees. This position will process student degree certifications as well as serve as point of contact for transfer students. The Advisor and Records Specialist oversees the transfer credit evaluation process. In consultation with schools and departments, the advisor and records specialist will research credit systems inside and outside of Syracuse University, create academic plans to map out major progression. They will also evaluate and approve external/AP/IB transfer credit, work with intra-university transfer students and support processes for first-year student registration. The advisor may oversee Intra-University Transfer, Post Enrollment Requirement Checking, and/or First-Year Student Registration. The Advisor will reach out to and refer at-risk students to provide support. Referrals include academic departments, faculty, support services, crisis intervention, personal counseling, financial aid, residence life and University resources. Assisting with 3-5 weekend events such as Convocation is required.

Responsibilities:
  • Maintain up-to-date and accurate student records for all VPA students. Update records and process forms including petitions, withdrawals, readmissions, intra-university transfer, declaration of major, independent study, grading option, etc.
  • Responsible for transfer credit processing for all current and prospective VPA students. This process includes outreach to appropriate departments throughout the University and posting of transfer credits to student information system (Peoplesoft).
  • Data processing and data entry of student records and requests, including those related to student records access (FAST request).
  • Update and support for degree audits including the processing of exceptions and/or degree certifications.
  • Provide one-on-one advising and consistent outreach to a caseload of students on various topics including majors and minors, study abroad/study away, degree progress, fulfilling requirements, course selection/scheduling etc.
  • Maintain up-to-date and accurate student records for a caseload of students and verify that degree requirements are met using degree audits and regular communications with advisees.
  • Process student degree certifications upon degree completion.
  • Assist in Welcome Week, Convocation and family weekend events.
  • Other duties as assigned.
