Job Description:
The VPA Equipment Cage is a fast-paced operation serving the VPA academic community with a robust inventory of production equipment. The Operations Coordinator will work closely with the Equipment Cage and Production Studio Manager to ensure smooth and efficient operation of the VPA equipment cage, providing excellent service to students, faculty and staff and establishing strong controls for the equipment inventory to ensure it is secured, maintained, stored and accounted for in order to protect the University's significant investment and support the learning environment.

Responsibilities:
  • Student Support: Participates in staffing the Cage operation to include direct assistance for students, faculty, Cage staff and repair technicians; supervises the equipment reservation process, including creation, preparation, check-out and check-in of equipment; schedules appointment times for equipment reservation pick-up and drop-off; tracks and corresponds with student about missing and damaged equipment and escalates concerns to the Manager.
  • Operations Support: Assists the Manager in with student/staff hiring processes, including review of applicant materials, scheduling interviews, and participating in candidate interviews for cage staff, repair technicians and lab monitors; serves as an onboarding and training resource and provides ongoing staffing coordination and scheduling; regularly reviews and updates training materials for Cage staff; oversees the inventory tracking for Cage equipment and ensures strong accountability for assets; maintains up-to-date information on Answers and Blackboard regarding policies and procedures and schedules; effectively corresponds with the Bursar's office to place and remove holds.
  • Purchasing: Coordinate with the Manager to purchase Cage office supplies and equipment parts through eProcurement process.
  • Operations Communications: Maintain and update access to the Blackboard organization listserve and, under the Manager's direction, engage with the listserve users to communication operational information such as operating hours and other important Cage operations information; Work with VPA IT to report change in user-group access to Zeus, room-booking calendars, Papercut, and other University workflow systems; report technical issues with Zeus to OBOR Support.
  • Payroll: Reviews and approves Cage staff timecards; verifies and corrects missed or incorrect punches.
