Position Description

The Registration Representative engages in two primary functions, managing registration-related document processing and, as a part of a small team, providing front line Office of the Registrar support via face to face, email, and phone support to the Seattle University community including
potential students and their families, current students, alumni, SU faculty, staff, administration and community members. The position reportsto the Assistant Registrar and is a member of the three person Redhawk Service Center team of full-time staff along with two student workers.

Registration Support (60%)

  • Process registration related requests: Using appropriate judgment, review and process student registration related petitions and forms. This work includes enrolling students into independent study courses and internships, manually processing post-deadline registration adjustments, processing various withdrawal types and processing faculty course roster check registration changes.
  • Communicate with students, faculty, and staff to explain and execute university registration policies and procedures.
  • Process non-traditional registrations: alumni audits, elder audits, continuing education courses through the College of Education and prepares deposits for the Controller's Office.
  • Process re-admittance applications for students who stopped out and are ready to return and complete their degree
    Back-up support to team members.

Service Desk Support (30%)

  • Explain and clarify processes, policies and procedures: assist customers in person at our Redhawk Service Center front desk, over the phone, via email in all registrar-related services related to registration, grading, academic record access and requests. Activities involve directing students to appropriate forms and providing guidance on how to complete them.
  • Advise students how to use the online registration system to manage academic records regarding registration related activities.
  • Daily shifts on the Redhawk Service Desk.

Other Duties (10%)

  • Special projects.
  • Other duties as assigned.

Work structure:

Full time (37.5 hours/week)
Duties will typically be performed during university business hours, Monday through Friday 8:00 am- 4:30pm. Occasional departures from this schedule are typically limited to the first 2 days of each academic term, commencement, and periodic events requiring staffing.

In-person office in a cubicle environment with majority screen-time work.
This position supports the student/faculty-facing service desk requiring face-to-face, phone, and email interactions.

Qualifications

  • High school diploma plus two or more years of progressively responsible administrative office support experience in higher education and experience working with a variety of people OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Ability to exercise professional judgment, to make informed and reasonable decisions based on experience, reason and policy, while considering issues of equity, fairness and historical precedent.
  • Success working both independently and collaboratively in a fast-paced team environment.
  • Familiarity with the academic, social and/or public sector, and a passion for equity & justice.
  • A demonstrated ability to learn new software platforms.
  • Demonstrated data entry and analytical skills.
  • Proactive and results-oriented.
  • Organized and detail-oriented..
  • Solid research and problem-solving skills.
  • Excellent customer service attitude and customer focus.
  • Strong professional communication skills, both written and verbal with diverse populations.

Compensation at a Glance

Salary Range: $42,900 - $43,925

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
