Job Summary:
The Transfer Credit Articulation Adviser has six primary responsibilities:
1. Manage the process of admissible students' transfer credits into Banner by Registrar staff, provide quality control checks for entry of transfer credits, and provide training to the staff as necessary.
2. Evaluate transfer credits and how those courses/test scores may or may not satisfy USF degree and departmental requirements.
3. Maintain prospective students' transfer credits in the Transfer Credit Evaluator tool.
4. Develop and maintain transfer credit agreements with California community colleges and selected Seattle-area community colleges.
5. Process the approved transfer courses enrolled students submit from other institutions via the Petition to Enroll at Another Institution (PEAI) process.
6. Manage the transfer credit email account.
The Transfer Credit Articulation Adviser works collaboratively and effectively with colleagues in the Registrar's Office on the review and maintenance of articulated transfer courses/test scores both in the Banner Student System and the Transfer Credit Evaluator portal.
The Transfer Articulation Adviser works closely with colleagues in the Study Abroad Office, Center for Academic and Student Achievement (CASA), and the schools and college in counseling enrolled students about their transfer courses/test scores and how those courses/test scores may or may not satisfy USF degree and departmental requirements. They work closely and collaboratively with colleagues within Strategic Enrollment Management.
The Transfer Credit Articulation Adviser identifies opportunities for improvements and efficiencies in the transfer credit process. They also keep up-to-date with transfer credit best practices and provide direction in this regard to the schools and college, and relevant colleagues in CASA and the Offices of the University Registrar and Admission.

Essential Position Responsibilities
- Manage the articulation and entry of transfer credits for admissible transfer students.
- Provide quality control for the entry of admissible students' transfer credits into Banner.
- Process the approved transfer courses enrolled students submit from other institutions via the Petition to Enroll at Another Institution (PEAI) process.
- Counsel and advise students on how their transfer credits may or may not satisfy degree and departmental requirements.
- Work closely with transfer admission colleagues to ensure timely, proper, and accurate application of admitted students' transfer credits.
- Monitor the Slate reports: 1) Transfer Credit Entry Needed, 2) Transfer Credit Entry - Nursing, and 3) Transfer Credit Needs Articulation to ensure newly admitted student's credits are entered and evaluated correctly and in a timely manner.
- Identify core curriculum requirements for transfer nursing students using Slate Reader during the application process.
- Evaluate transfer credits for potential transfer student athletes through the Progress Towards Degree (PTD) form.
- Resolve pending courses submitted by prospective Transfer students in the Transfer Credit Evaluator portal by adding course articulation in Banner.
- Familiarity with TES (Transfer Evaluation System from CollegeSource) and ASSIST (Articulation System Stimulating Inter-institutional Student Transfer) systems.
- Resolve schools/college duplication issues in Banner.
- Provide training on transfer credit as needed to Registrar staff.
- Serve as an advocate for transfer students.
- Work closely with ITS on Banner transfer credit issues, enhancements, and upgrades, including testing of patches and fixes.
- Work closely with the Assistant University Registrar to ensure that the Transfer Credit Evaluator is maintained and kept up-to-date with articulated courses for prospective transfer students.
- Work closely with the Assistant University Registrar on developing and maintaining transfer credit agreements with California community colleges and select Seattle-area community colleges.
- Work collaboratively with schools and college colleagues, identifies opportunities for improvements in the transfer credit process.
- The authority to resolve disputes regarding the assignment of transfer credits.
- The judgment to set and adjust transfer credit articulation in Banner.
- Familiarity with FERPA and student records privacy issues.
- Provide excellent customer service to students, faculty, and colleagues; with email inquiries.
- Review customer issues; use judgment and discretion to act when precedents do not exist.
- Document relevant procedures.
- Collect and analyze data in areas of responsibility; develop and present data to senior managers and executives.
- Participates in the Student Regalia event.
- Participates in the Commencement ceremonies.
- Serve as alternate to Registrar staff colleagues during periods of vacancies, vacation, and illness.
- Perform other duties as assigned.
Accountabilities
The Transfer Credit Articulation Adviser reports to the Assistant University Registrar, Transfer Credit Articulation.
Requirements: education, experience, knowledge, skills, abilities
- Bachelor's degree required.
- At least three years of progressive responsibility advising students of degree requirements, including transfer credit requirements and articulation.
- Familiarity with USF schools and college degrees and curricular requirements are a plus.
- Ability to work independently, effectively, and collegially with faculty, deans, staff, and senior administrators.
- Excellent oral and written communication skills.
