The Dean of Students Office, Office of Case Management and Student Conduct & Community Standards are teams that work with students through behavioral intervention, conduct education and threat assessment as well as advocating for students and helping them navigate the services of the university.

Overview of position: This position will be the point person for managing the Dean of Students Office which includes the Office of Case Management and The Student Conduct and Community Standards Office. This will include front desk responsibilities, purchasing, budget, assisting with the Medical withdrawal process, managing mail, helping members of the office schedule spaces and schedule meetings, and other duties outlined below, and as assigned.

What you will do:

Operations

  • First point of contact for the University on many levels, either in person, by telephone, website inquiries or via email in a high-volume setting and crisis setting. This position will provide information regarding center services, referrals, and operating policy/procedures.

  • Welcome diverse clientele with excellent customer service and effective crisis management to the case management team.

  • Provide effective case triage for students who contact the office by elevating urgent and important situations and connecting students with the appropriate resources

  • Support students seeking services who may be in crisis using of de-escalation skills consistent with best practice, and notification of campus police with support and guidance from the case management staff.

  • Run the day-to-day operations of the Dean of Students offices, which include greeting students, employers, faculty, staff, and guests that enter the Dean of Students physical space, as well as manage the shared email boxes, phone lines, and mail boxes.

  • Manage the front desk

  • Assists students, faculty, staff, and other constituents by providing information on our services and other resources that may be available to them

  • Maintain, monitor, and restock kitchen and office supplies and equipment. Oversee coordination of shared cleaning duties among Dean of Students occupants

  • Maintain supplies, office equipment, and employee technology, including coordination of maintenance and repair.

  • Effectively handles sensitive and confidential issues on behalf of department with timeliness, discretion, professionalism, and consideration of the perspective of department

  • May be asked to assist in guiding emergency response services into the office when an individual is in a mental health crisis.

Financial

  • Help with grant management, including but not limited to: financial reports, budget allocation, and reporting timeframes.

  • Assisting with Budget tracking and purchasing

  • Purchase materials for the Dean of Students suite such as educational and promotional materials, office supplies, background checks, etc.

  • Assist other Student Affairs areas with purchasing when needed

Onboarding

  • Approve job postings in Handshake, the university job board, and approve alumni and student account requests.

  • Will serve as a liaison for Campus HR

  • Screens, selects, and trains applicants for all student administrative positions.

  • Manage HCM (Human Capital Management) functions for the CDIL DOS team (hiring/terms, timesheet and leave uploads, position data, etc.), serving as a liaison with campus HR for the DOS team.

Administrative

  • Identify, schedule, and organize unit meetings and team-building events.

  • Assist with projects or events for any of the offices in Dean of Students as needed.

  • Manage AHEC Facilities' work orders for the space, and coordinate mail services.

  • Manage Dean of Students internal and external space reservation requests.

  • Assist with Travel arrangements for staff in the DOS office when staff is traveling for professional development.

  • Manage the data entry of the medical withdrawal process which is handled by the DOS office

  • Make appointment reminder calls to students with upcoming meetings in the suite.

Qualifications you already possess (Minimum Qualifications)

  • Bachelor's degree from an accredited university in Communication, Human Resources, Psychology, Conflict Resolution, or other relevant field.
  • One (1) year of professional experience in customer service or related field

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • One (1) or more years' experience in mental health, customer service, case management, business administration, HR, or Finance

  • Familiarity with recruiting or CRM software (Handshake, Symplicity, Maxient, 12Twenty, Salesforce, etc).
  • Experience with data collection and reporting

Knowledge, Skills, and Abilities

  • De-Escalation skills consistent with Case Management and Student Conduct best practices to manage students in crisis

  • Developed knowledge of Dean of Students operations

  • Strong verbal and written communication skills with the ability to effectively explain processes and procedures.

  • Must possess the ability to develop and maintain relationships with diverse populations. This includes students, faculty, staff, and employers from a wide variety of social, ethnic, and economic backgrounds.

  • Ability to communicate effectively, both in writing and orally.

  • Ability to work independently, highly motivated and results driven.

  • Excellent customer service, organizational, problem solving, and time management skills

  • Excellent organizational skills.

  • Ability to create a welcoming environment and greet a diverse clientele with enthusiasm.

  • This position follows a hybrid work structure where employees can work remotely or from the office, as needed, based on demands of specific tasks or personal work preferences. Working from the office is encouraged when working on tasks that require a high degree of collaboration.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $57,211 - $62,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
