About the Position:
This role is an on-campus, in-person position.
The Caruth Institute for Engineering Education (CIEE) is seeking an Administrative Specialist I to oversee the successful coordination of summer camps and other initiatives within the Institute. The successful candidate will work closely with the CIEE team members to ensure the delivery of pre-college educational programs. The candidate will provide general administrative support to ensure the program's goals are met on time, within budget, and to the highest standards.
Essential Functions:

Event and meeting coordination, including but not limited to, procurement of catering, venue, assuring departmental compliance with University procedures, and program brochure updates.

Provides administrative support, including data entry, record-keeping, student application processing, entering facilities and maintenance requests, updating and filing of program-related documents, preparing meeting notes and updates.

Assists with the daily operations of the summer camps, including supply oversight/procurement, group management, schedule transportation, camper check-in/out, activity transitions, answer calls and provide updates to campers and parents.

Develops and maintains schedules and timelines for program activities and guest speakers, updates office directory and mailing lists.

Assists with the recruitment of student workers or volunteers, collects, disseminates and manages applicant materials and submits hiring paperwork.

Helps develop marketing materials to promote programs through social media and community outreach and helps manage/maintain the Institute's website.

Occasional evening/weekend hours may be required for events and outreach activities.
Qualifications
Education and Experience:
A Bachelor's degree is required. A degree in Engineering, Education or related field is preferred.
A minimum of one (1) year of experience is required. Fieldwork or teaching experiences in K-12 settings or youth out-of-school programs is preferred. Experience in design-based learning, education, and program coordination is highly desired.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
Candidate must be able to demonstrate proficiency in Microsoft Office.
Candidate familiarity with mail merge, Concur, Adobe Acrobat Professional, Qualtrics and Sitecore is preferred.
