Job Summary

The Department of Theatre & Dance (THDN) at CU Boulder encourages applications for a Production Coordinator position! This role provides crucial operational and organizational support for THDN production season, which acts as a laboratory for our students. The Production Coordinator organizes scheduling and communications for the entire season of theatre and dance productions, providing vital collaboration across all production areas to ensure smooth operations and production safety during the educational experience for our students. This role supervises assigning, hiring, training, and mentoring of student stage managers, house managers, and run crew positions, as well as arranging professional guest artist agreements. What Your Key Responsibilities Will Be

Production Coordination:
  • Coordinate the season planning process in collaboration with Theatre Technical Director, Director of Dance Production, and Associate Chairs, including the organization of documentation, communication, and department participation in the season selection process. Create and lead the full season production calendar of rehearsals, build periods, technical/dress rehearsals, performances, all design and production meetings, etc. Create and handle electronic resources and communications for all collaborators in the production season to ensure that needs for dance and theatre productions are met.
  • Ensure spaces for all dance and theatre production needs are reserved in the EMS system and communicated to relevant personnel, including additional events such as guest artist visits, KCACTF responses, donor events, post-show responses and receptions, etc.
  • Schedule, organize, and facilitate all production meetings with appropriate production personnel, including faculty, staff, students, and professional guests. Ensure strong communications and awareness between all artistic and production areas of dance and theatre.
  • Handle the audition process for the season, including communication, sign-up process, audition and callback operations, etc.
  • Assist with recruiting, hiring, and arranging contract agreements for professional guest artists, in collaboration with department staff and faculty. This may include guest directors, choreographers, musical directors, designers, musicians, craftspeople, fight choreographers, intimacy coordinators, dramaturgs, etc.
  • Be present at dance and theatre technical and dress rehearsals to ensure a safe environment is maintained, mentor student stage managers and run crew, and facilitate communications between personnel of the various production areas where needed, etc.
  • Assist with purchasing and budgeting for dance and theatre department productions as needed in collaboration with production faculty
  • Act as the account holder for all licensing agencies for productions. Purchase production contracts and be responsible for the distribution and return of scripts and scores. Ensure all production personnel are aware of contract requirements and help maintain compliance with licensing agreements
  • Organize complimentary ticket code processes for all production personnel of dance and theatre productions
  • Participate actively in the development of efficient processes to support the THDN production season, and other duties as needed to ensure safe and effective operations.
Campus Liaison:
  • Lead coordination with other entities such as facilities management, access services, campus security, CU Presents, and Colorado Shakespeare Festival to ensure smooth operations, safe use of facilities, and strong campus partnerships
  • Act as the point person for CU Presents, our on-campus ticketing and marketing partners, for all communications regarding season information, production programs, and audience services (accessibility needs, content warnings, etc.)
  • Recruit, hire, train, and supervise a team of student house managers for the season. Ensure proper safety training and communication protocols for house managers and ushers to maintain audience and venue safety, including supervising house report expectations and emergency procedures. Ensure smooth operations for front of house services in collaboration with CU Presents staff. Maintain availability to address production-related problems, issues, concerns as they may arise during the production run.
  • Act as the department liaison for the Colorado Shakespeare Festival (CSF), ensuring strong communications for ongoing needs that may require access to specific THDN assets, spaces and resources. Help to facilitate a smooth transition of spaces between CSF and THDN between the academic year and the summer season. Assist with coordinating vital information for annual Memo of Understanding between entities.
  • Manage storage facility needs and access in collaboration with production faculty and staff
  • Serve as a back-up building proctor to coordinate facility needs and access.
  • Maintain strong and positive relationships with campus security and access services to ensure production run safety and needed communications
Student Supervision and Mentoring:
  • Assign student stage managers working on THDN productions in collaboration with production faculty. Act as a mentor and first point of contact for stage managers. Track student progress and development for future season assignments.
  • Supervise assignments and training of student run crews for THDN productions
  • Act as first point of contact with student-run groups (Sandbox Student Series and CU Dance Connection) for all production and facility needs
  • Depending on candidate expertise and interest, as well as departmental needs and resources, there may be an opportunity to add an additional paid appointment to instruct one course per semester in a related area such as stage management.


What You Should Know

  • This is a temporary position, working full-time for the academic year from mid-August 2025 to mid-May 2026. This role is working primarily onsite.
  • The ability to work a flexible schedule, including evening and weekend work, is required to accommodate production needs.


What We Can Offer

The hourly pay range for this temporary position is $28 - $31.25.

Benefits

Temporary positions at the University of Colorado are not benefits-eligible, however, all positions are eligible for paid sick leave.

What We Require

  • Bachelor's Degree. Equivalent experience can substitute for the degree on a year for year basis.
  • 1 year of proven experience in a professional role with production coordination/production management responsibilities.
  • A valid U.S. Driver's License.
